Olive Oak Interiors is a West Coast residential interior design firm, with offices in CA and OR. We help young families create homes that support peace, beauty and sanity in their busy lives. We pride ourselves on our seamless design process, sustainability knowledge and ability to incorporate livability into our aesthetics.
As our Interior Design Assistant, you are detail-oriented, always up for a challenge or new task and borderline psychic when it comes to your ability to anticipate needs. We are looking for someone who can bring a positive attitude and genuine enthusiasm for this field to our team and become the glue that solidifies all of the creativity.
You will work closely with the Founder / Principal Designer, as well as the Senior Designer to manage and execute all of the foundational elements of our processes, and support design as-needed.
The Position:
- Interior Design Assistant
- Southern CA location with majority of work being done remotely
- 15 hrs. a week (minimum, with the possibility for more)
- Somewhat flexible schedule (some set hours, some self-paced)
- Pay based on experience ($25 - $35 / hr.)
Tasks:
- Manages potential-client inquiries and ensures timely responses
- Onboards new clients by creating contracts in Word / inputting information into our project management software, IVY
- Corresponds with clients in all phases of design to ensure expectations are set and exceeded, including sending current clients weekly updates on all design-related items status next steps
- Attends and takes notes during meetings / creates internal client documents folders across Google / Dropbox / Ivy / Pinterest
- Synthesizes past client Proposals to create new, bespoke proposal documents for Principal Designer’s review / edits
- Compares past client presentation decks to approved client proposals to create foundational presentation documents in Keynote
- Converts Principal Designer concepts to Keynote presentation with accuracy and precision for client review
- Keeps a running list of to-do items and project next steps and communicates effectively with Principal and Senior Designer to ensure timely completion of deliverables
- Attends various design meetings / presentations / runs errands throughout Southern California
- Occasionally travels by plane to other client sites to support Principal Designer
- Conducts various product vendor research / contractor vendor communications / trade account setup management
- Assists with project installs
- Manages creation of purchase orders based on final designs in IVY, ensuring pricing accuracy. Assists in purchasing and manages tracking and order updates to clients, vendors and team
- Manages posting, tagging and engagement across Instagram Pinterest for content delegated by Principal Designer. Creates content in line with brand where necessary
Must Have Qualities:
- Detail-oriented, accountable for oversights
- Follows directions well and able to consolidate questions as much as possible
- Independent thinker who can problem-solve to present multiple possible solutions to any issue that arises
- Anticipate needs; truly learns our process and is two steps ahead
- Organized; naturally follows-through on tasks without being reminded
- Thrives in / enjoys primarily independent work and tasks that require extended focus / repetition
- Positive person with an optimistic attitude who is willing to try tasks / grow professionally
- Local to Southern, CA with reliable transportation, remote work environment and Wi-Fi connection
- Proficient in Google Suite and Microsoft Excel with excellent written communication skills
- Enjoys being around the creative process but doesn’t need their job to be primarily creative
- Able to travel lift 50 lbs.
- Confidently communicates with clients / vendors / tradespeople
- Able to synthesize and emulate design aesthetics from visual aids (Pinterest / inspiration images)
Ideal Qualities:
- Experienced / proficient in SketchUp, Photoshop, Keynote, Ivy, Asana
- Ability to create design binders / detail drawings in SketchUp / AutoCAD
- Expertise in social media marketing
- Experience / education in residential Interior Design
- Knowledge of industry trade vendors
